Kickoff and data request
We confirm goals and scope, schedule interviews, and request read-only access or exports: financial statements, CRM and operations reports, call and ticket volumes, and a list of the software you pay for.

Interviews and workflow mapping
Conversations with leadership and the people doing the work, on-site in Texas or by video, plus observation of key workflows. We record each step, the systems it touches, how long it takes, and where errors and delays creep in.

Analysis and scoring
We audit data and systems, build the KPI baseline, and review dozens of metrics, from cost per job and days sales outstanding (how long customers take to pay) to quote-to-close rate and customer acquisition cost. Then we score the five pillars and model ROI and payback for each opportunity.

Every opportunity gets an estimated annual value from your own volumes and costs. Example: 18 hours a week × $32 loaded hourly cost × 50 weeks is $28,800 a year of staff time at stake.
Payback estimate for each initiative
Payback, in months, is the one-time cost divided by the monthly net benefit. Each roadmap item shows it, so you can fund the fastest returns first and see which projects need a longer horizon.

How is this different from the free AI Readiness Assessment?
The free AI Readiness Assessment is a 5-minute online questionnaire that scores your business on five pillars and gives you a starting point. The AI Opportunity Assessment is a paid 2–3 week engagement: we interview your team, map real workflows, audit your data and systems, and model ROI with your own numbers. The free tool tells you roughly where you stand. The paid assessment tells you what to do first, what it's worth, and what it will take.
How much does an AI assessment cost?
The fee is set by scope and agreed before we start, because the assessment is fixed-scope. What drives it: the number of departments and locations involved, how many people we interview, how many systems we audit, and whether you need industry-specific review, such as HIPAA for a medical practice. You know the full cost up front, and the roadmap tells you whether each next step is worth funding before you spend more.
What data and access do you need from us?
Less than most people expect, and read-only access is fine. We typically ask for 12–24 months of financial statements, reports or exports from your CRM, job-management, or order systems, call and ticket volumes, and a list of the software you pay for. We also need time with the people who do the work. We're happy to sign an NDA first, and you decide whether files are returned or deleted at the end.
How much of our team's time does it take?
Expect a 60-minute kickoff, interviews of 30–60 minutes with each key person, a few short follow-up questions, and the 90-minute readout. We observe workflows while they happen rather than pulling people into long workshops, so day-to-day operations keep running. Most of the effort is on our side: analyzing data, modeling ROI, and writing the roadmap.
Is this the same as an AI audit?
Partly. Many owners who ask for an AI audit for their small business want exactly this: a review of the business to find where AI fits and what it's worth. The assessment also reviews the AI already in use, including which tools employees rely on, what data goes into them, and whether you have a policy. It isn't a formal compliance or bias audit of an AI product you sell, though it will flag if you need one.
What if AI isn't worth it for us yet?
Then the report says so and tells you what to fix first. Sometimes the best return comes from cleaning up a process, connecting two systems, or building a dashboard before any AI is involved. We'd rather tell you that than sell you a project that won't pay back. The KPI baseline and data audit stay useful for whatever you do next, with or without AI.
Do we have to hire you to build what's on the roadmap?
No. You own the report and roadmap, and they're written so your team or another vendor can execute them, with the scope, dependencies, and success metric a builder needs for each item. If you'd like us to build, we can scope the first project right after the readout. Because we build software for a living, every recommendation has already been checked for whether it can actually be built.
